Executive Assistant

With minimal supervision, this individual will be a strategic thinker with meticulous attention to detail, working well under pressure, and meeting deadlines. Provide excellent interpersonal and communication skills with the ability to multitask and adapt in a therapeutic environment. This individual is innovative, organized, self-motivated, has a generous spirit, can take life lightly and has a keen interest in personal transformation and improving the lives of others. Will have the ability to exercise good judgment in a variety of situations while providing high-level confidential administrative support to the CEO and Operations Manager. Works directly with: Chief Executive Officer and Toivoa Coaching Academy board.
The position could be virtually, hybrid, or live in our beautiful small office in the new University of DE Star Campus, FinTech building.
Responsibilities:
-Administrative Support: Manage general administrative tasks, to include answering phones, handling correspondence, and perform data entry. In addition, order supplies, and any other administrative needs as they arise.
-Follow-up and Coordination: Oversee necessary paperwork and follow up with team members to maintain efficient workflows.
-Donor Management: Assist in managing donor relations by drafting donation letters and maintaining accurate records.
-Board Support: Assist with keeping minutes for the board meetings and organizing board projects and documents.
-Team Assistance: Coordinate schedules, attend meetings, and support events and community engagements as needed.
-Work closely with and collaborate with CEO and board to assist with administrative and operational tasks as needed, which will include a phone or in-person check in at least once per week.
Minimum Qualifications:
-Previous experience in administrative or office support roles is preferred.
-Previous experience working in a clinical setting required and experience in holistic wellness preferred.
- Excellent written and verbal communication skills.
-Works well under pressure, can meet tight deadlines and mulit-task.
-Highly computer literate with capability in email, MS Office, and related business and communication tools.
-Proficiency in Microsoft Office Suite and familiarity with basic office equipment.
-Organized and meticulous attention to detail.
-High level of interpersonal skills to handle sensitive and confidential situations with those we serve and when interacting with donors.
